Wage rate: $51/hour for 32 to 40 hours/week.

Education: College, CEGEP or other non-university certificate or diploma from a program of 1 year to 2 years

Experience: 2 years to less than 3 years

Language: English.

Job Duties: 

• Plan, organize, direct, control, and evaluate the administrative operations of the dental centres to ensure efficient delivery of administrative support services and smooth day-to-day office functioning.

• Develop, implement, and oversee administrative policies, procedures, and service standards related to records management, office administration, procurement, scheduling, and patient service operations.

• Coordinate and manage administrative services, including patient file management, billing support, office systems, purchasing, maintenance, and clinic support functions.

• Oversee the collection, review, and verification of patient documentation, insurance information, consent forms, and administrative records to ensure completeness, accuracy, and compliance with operational requirements.

• Direct, assign, and supervise administrative staff, reception personnel, and support teams by allocating duties, monitoring performance, and ensuring operational priorities are met.

• Evaluate administrative procedures and workflows, identify inefficiencies, and implement process improvements to enhance service quality, patient experience, and office productivity.

• Coordinate administrative support for dentists, hygienists, and clinical staff by ensuring effective scheduling, patient communication, appointment coordination, and follow-up processes.

• Participate in the recruitment, interviewing, hiring, training, and performance evaluation of administrative personnel and arrange staff development programs where required.

• Prepare and monitor administrative budgets, control expenditures related to office operations, equipment, supplies, and facility administration, and recommend cost-effective operational strategies.

• Manage contracts and relationships with suppliers, service providers, equipment vendors, and external maintenance providers to ensure uninterrupted administrative and operational support.

• Ensure the secure management, storage, and confidentiality of patient and corporate records in accordance with clinic policies, privacy legislation, and applicable regulatory requirements.

• Coordinate office maintenance, facility management, equipment servicing, and procurement of office and dental administrative supplies to support business continuity.

• Organize and oversee internal administrative meetings, staff coordination initiatives, and operational projects to improve efficiency and maintain service standards.

• Ensure compliance with organizational policies, workplace procedures, occupational health and safety requirements, and applicable healthcare administrative regulations.

• Analyze administrative performance and prepare operational reports and recommendations to senior management to support strategic decision-making and continuous improvement.
