Wage rate: $51 per hour, 32 to 40 hours per week.
Education: Bachelor's degree
Experience: 2 years to less than 3 years
Language: Excellent knowledge of English
Working setting: The candidate should be available to work full-time in the day or evening and on weekends, if required.
Job Duties:
- Plan, organize, direct, control, and evaluate the daily administrative operations of the office.
- Coordinate and manage administrative services, including records management, finance support, purchasing, and client administration.
- Collect required documents from clients and conduct ongoing follow-ups, particularly with long-term clients, to ensure timely submissions.
- Review, verify, and validate client documentation for accuracy, completeness, and relevance, and promptly resolve missing or unclear information.
- Assign tasks and client files to accountants and administrative staff based on workload, urgency, and operational priorities.
- Monitor workflow progress and support the accounting team with additional client communications and follow-ups as needed.
- Coordinate and schedule client meetings once files are completed or ready for review.
- Assist with document signing processes and ensure proper authorization and compliance with corporate governance and regulatory requirements.
- Manage document storage systems, record-keeping, and file archiving to ensure confidentiality, accuracy, and accessibility.
- Direct, advise, and supervise staff engaged in providing administrative services, including office staff and volunteers where applicable.
- Interview, hire, train, or arrange training for administrative and support staff to ensure effective performance and adherence to office procedures.
- Assist in preparing annual budgets and monitor administrative expenditures related to office operations, client projects, equipment, and supplies.
- Organize and maintain office inventory, supplies, and administrative resources.
- Manage and coordinate internal events, meetings, and administrative initiatives as required.
- Ensure adherence to established policies, procedures, and regulatory compliance standards, and continuously identify opportunities to improve administrative efficiency and client service.
