KEY QUALIFICATIONS
- At least 1 year experience as Administrative Supervisor
- Proficient in MS Office (Word, Excel Outlook, Power Point)
- Post Secondary Education in Business Administration or Related Field is required;
- Excellent written and verbal communication skill in English
- Strong organizational and multitasking ability
- Able to work independently and as part of a team
- Experience with trucking regulatory compliance is an asset.
Duties:
- Plan, organize, and oversee the daily operations of clerical and administrative staff, ensuring tasks such as record-keeping, filing, document control, and coordination with other departments are completed efficiently.
- Set priorities for administrative activities and ensure adherence to company policies and procedures.
- Train, guide, and support new and existing staff in their roles, including administrative practices, safety protocols, internal systems, compliance requirements, and HR processes.
- Monitor and manage fleet records, including insurance documentation, claims, and liaising with ICBC representatives to meet fleet program requirements.
- Ensure compliance with safety regulations by maintaining driver qualification files, tracking certifications, monitoring vehicle inspections, and adhering to provincial and federal standards.
- Assist in recruitment processes, including reviewing resumes, conducting reference checks, preparing hiring documentation, and coordinating onboarding, orientation, and training for new employees.
- Address and resolve work-related issues, including customer concerns, driver incidents, and workflow disruptions, while preparing detailed progress reports such as safety audits and operational updates.
- Coordinate office services, including procurement of supplies, fleet documentation, safety materials, and office equipment, while maintaining inventory and budgetary controls.
- Ensure the proper functioning of office equipment, machinery, and fleet administration tools, arranging for repairs and maintenance as needed.
- Collaborate with management and other departments, such as HR, logistics, and finance, to align administrative operations with organizational goals.
- Support the preparation and monitoring of budgets and ensure efficient use of resources.
